Overview

The Bureau of Engraving and Printing (BEP) manages approximately 2.2 million square feet of space, from 2 locations in the U.S. 1.4 million square feet is in their buildings at the Washington Currency Facility, located in Washington, DC, and another 800,000 square feet of space is accounted for by the Western Currency Facility in Fort Worth, Texas.

BEP needed to identify and gather data for the tens of thousands of assets contained within their facilities to better manage them with regard to maintenance, location, and specifications within new asset management software, they were deploying.

Solution Details

We were brought in to identify, barcode, map, and collect data for some 23,000+, HVAC, plumbing, electrical, central utilities, pre-treatment, and other assets. Data details collected varied by the asset’s system category. Preventative maintenance schedules and data was developed for assets that required preventative maintenance.

Preventative maintenance schedules were developed, by synthesizing manufacturer recommendations, industry and code requirements, analyst inspection, and BEP input. The preventative maintenance schedules included the collection or verification of basic data for each individual asset including:

  • physical condition
  • service life
  • year manufactured
  • serial number
  • manufacturer’s information
  • asset location
  • make and model
  • construction type
  • installation date
  • purchase price
  • replacement cost

After collection, the data was then uploaded into BEP’s new asset management software. BEP now has a populated inventory of their assets, along with preventative maintenance schedules and plans to better manage their many assets.
